The QR Menu Guide: End to End for Cafés and Restaurants

The QR menu trend started in 2020 out of necessity, but the reason it stayed isn't hygiene — it's cost and flexibility.

The hidden cost of a printed menu

One print run looks cheap. But when a supplier price changes you either sell at the old price for two months or reprint. Most businesses choose the first and pay the difference themselves.

What you actually gain

Three things change. You update a price in minutes, hide a sold-out item in one click, and publish a seasonal menu without waiting for a print run.

What to do on day one

  1. Set up categories in service order: drinks, starters, mains, desserts.
  2. Enter your ten best sellers. You don't have to enter everything on the first day.
  3. Add allergens. Even where it isn't a legal requirement, it's the fastest win for guest trust.
  4. Test the QR code on two different phones before printing.

The common mistake

Uploading the whole menu as a PDF. The guest has to pinch-zoom, can't search, can't see allergens. The point of a QR menu is content built for a phone — a PDF doesn't give you that.

In short

A QR menu doesn't have to replace print entirely. Most businesses run both: printed on the table, with current prices and seasonal items on the QR.
